Live Event Activations

WHAT ARE EVENT ACTIVATIONS?

Interactive event sketching turns attendees into active participants

Event activations are interactive drawing experiences that capture your audience’s own ideas, answers, and stories live, in real time.

Ink Factory provides event activations for trade shows, conferences, and corporate events, turning booth visits and audience engagement into shareable, on-brand artwork that draws a crowd (literally).

Why use live event drawing?

Including their words in a holistic, hand-drawn visual helps people feel seen & heard.

Audience participation is one of the best ways to improve event engagement.

Live event activations vs. graphic recording

Graphic recording captures what’s said on stage. Event activations capture what your audience has to say. Need both? Pair an event activation with live graphic recording →

Where event activations work best

Whether you call it live event drawing, event sketching, or an activation, the goal’s the same: turn your audience into part of the story. Here’s how that plays out across different event types.

Conferences

Event planners love activations because they turn attendees into active participants. Ask what they're most excited about, their biggest challenges, how they're using your products—whatever matters most to your goals. By the end of the event, you'll have a professionally drawn visual showcasing real audience insights you can actually use.

Tradeshows

Want to draw crowds to your booth? Event activations do exactly that. Attendees stop to watch artists draw—then stay when they realize we're illustrating their ideas and opinions. Even better? They'll come back throughout the event to see the finished drawing and share photos of their contribution.

Feedback Sessions

Event activations flip the script. Instead of capturing speakers, we capture your audience—drawing their ideas, feedback, and insights in real-time. The result? Visual documentation of what your clients, users, or stakeholders actually think, giving you concrete takeaways that inform your strategy long after the event ends.

A conference attendee poses smiling in front of a wall full of illustrations with the title "what does amazing customer service look like?"

We asked attendees to share a little about what “possibility” meant to them. Then the Ink Factory artists helped to illustrate those ideas. The boards were a great way to bring the conference theme to life and we had tons of people taking selfies with the wall. We have found the drawings to be a great item for social media around the conference and for driving awareness in general for our brand.”

How event activations WORK

Rather than drawing a speaker’s content, we use our live event drawing skills to turn your audience’s ideas into beautiful illustrated installations.

Event sketching in action

CHIME FALL FORUM

We created one huge event activation board at CHIME’s 2025 Fall Forum.

We posed three different questions to attendees, gathered their answers, and drew them on-site. The live event sketching was free for CHIME, as they had a sponsor cover the cost.

The sponsor had their logo and marketing materials featured on and beside the event activation.

What our clients are saying

"We hired Ink Factory Studio for a booth engagement activity at one of the conferences we attend. FANTASTIC. The end product was amazing and drew a ton of interest to our booth. Lindsay was a delight to work with–super communicative leading up to the event, on-point during, and extremely talented. 10/10 would collaborate with the Ink Factory team again! Thank you!"

Joe Wolff, Director of Growth Marketing, WeVideo USA

"This created a great way for us to follow up with attendees and clients by turning the images into note cards and we will be using them for future marketing purposes. The actual boards have also been used as displays throughout our offices."

Rachael Baranoski, Association for Value-Based Cancer Care

"I had the best experience with InkFactory! My client needed something fun and interactive to do with our group and it was just what the doctor ordered. Pricing was fair, the live artwork was phenomenal, and the team was so easy going and kind to work with. 10/10 would recommend and can't wait to work with them again!"

Event Activation FAQs

What is an event activation and how does it differ from visual notes?

Instead of capturing a speaker’s presentation in real-time, event activations capture your audience's ideas. You provide an "answer station" with a question or prompt, collect thoughts and insights from your attendees via cards or post-its, and our artists illustrate them live over the course of your event. It transforms attendees from passive listeners into active participants.

Are event activations drawn live?

Yes, we draw in response to audience input. Typically we're gathering answers over the course of 4 hours or more, while drawing answers as we receive them. We recommend no less than 3 hours for a successful event activation project. At the end of your event, you'll have a finished illustration summarizing everything your audience submitted.

How do we come up with the prompt for the activation?

Your dedicated project manager will work with you before the event to determine the best question or prompt based on your goals. Whether you want to know what attendees are most excited about, their biggest challenges, or feedback on a product, we’ll make sure it sparks engagement and provides actionable insights. Something short and easy to read quickly is best.

What happens to the physical boards after the event?

The finished activation boards are yours to keep. You can display them in your office as a lasting reminder of your community's insights. Within two business days after the event, we will also send you spell-checked, high-resolution digital files of the boards, which are perfect for email recaps, social media, or reprinting.

Is an event activation the same as live event drawing or event sketching?

They're related. "Live event drawing" and "event sketching" are broad terms for any real-time illustration at an event — including capturing a speaker's presentation. Event activations are Ink Factory's audience-first version: instead of drawing what's said on stage, we draw what your attendees say, submit, or answer, turning passive listeners into active contributors.
